Events

The event coordinator is responsible for planning and successfully implementing major social events at the Bauhaus-Universität Weimar.

This includes University-wide events such as celebrations, receptions, official ceremonies, and other institutionally significant events.

We Can Help With Your Event

The Event Coordinator offers:

  • Advice on formats, procedures, scheduling, and areas of responsibilities
  • General coordination of central University events
  • Coordination with internal and external partners (e.g. faculties, Presidential Board, service providers)
  • Support with organisational matters such as scheduling, use of spaces, and formal requirements
  • Support throughout the process, including event implementation

We are unfortunately not able to assist with the content-related design of individual subject-specific or teaching events. 
Likewise, we cannot assist with purely faculty-internal, private, or student events. We are also unable to offer long-term project management for events that are not affiliated with the University as a whole.

Scheduling

When Should You Contact Us?

The earlier, the better!

It’s a good idea to contact us as early as the idea and planning phase, especially if:

  • the event has a University-wide scope
  • multiple organisations are involved
  • high-profile guests will be invited
  • the event is planned to take place in a formal setting

Early coordination prevents the double-booking of spaces, scheduling conflicts, and organisational bottlenecks.

Procedure

Initial contact
Submit your request to the event coordination team. Be sure to include an explanation of the event, target group, and basic structure.

Clarification & Advising
Working together, we will determine whether it is a University-wide event and what type of support is appropriate and possible.

Planning & Coordination
For major events, we take care of the organisation and coordinate processes, responsibilities, and schedules.

Implementation
The event is supervised and coordinated according to a plan ensuring that everything runs smoothly.
