Funding for conference and exhibition trips abroad

The Bauhaus Research School supports doctoral candidates and scholarship-financed Postdocs in developing their own academic, artistic and creative profile by funding their international mobility. We therefore support their active participation in (online) conferences and exhibitions abroad by awarding grants.

Application deadlines in 2025:

31.01.2025     31.05.2025     15.09.2025

The call is subject to the availability of funds.

Who can be funded?

Only registered doctoral candidates of the Bauhaus-Universität Weimar as well as Postdocs, who received a scholarship awarded by the Bauhaus-Universität Weimar are eligible for funding. The prerequisite is the acceptance for the doctorate by the Doctoral Candidate Admissions Board by your respective faculty. Doctoral candidates who have already completed the oral examination as part of their defense are no longer eligible for funding.

What can be funded?

  1. Funding can only be awarded for active participation (e.g. a presentation, poster presentation, work of art) in an established international academic, artistic or creative event (e.g. conference, meeting, symposium, exhibition) taking place outside of Germany.
  2. A close connection must exist between the applicants own research-related, artistic or creative (post-)doctoral project and the topic/content of the event.
  3. If there is more than one presenter, only the main responsible preseneter can be funded. 
  4. Attendance-based as well as online events can be funded.
  5. Maximum funding period is 5 days for presentations in presence.

    Eligible costs for participation in presence:
    »Travel and accommodation costs (based on the Thuringian Travel Expenses Act) of up to 100 euros per day (5-day stay = max. funding amount of 500 euros)
    »Participation fees of up to 250 euros. This does not apply to academic and artistic staff employed at a university or non-university research institution.

    Eligible costs for online participation:
    »Participation fees of up to 250.00 euros

  6. The trip should start in Germany so that travel expenses can be reimbursed. In justified exceptional cases, the Commission will decide on the financing of travel expenses. Accommodation and participation fees are not affected by this regulation.
  7. Flight costs for trips with less than 1.000 km distance can only be funded if one-way travel time is min. 12 hours (acc. the Thuringian Travel Expenses Act as well as resolution of universities directorate per 17.02.2021). In justified exceptional cases, the Commission will decide on the funding of air travel costs. Sustainability supplement: If at least 70% of the actual travel costs for sustainable travel (by bus, train and carpooling) are not covered by the funding amount, a sustainability supplement of up to 50 euros can be granted as part of the funding settlement.
  8. The Bauhaus Research School does not award funding for any costs also being covered by third parties (e.g. other facilities of the Bauhaus-Universität Weimar, DAAD, foundations). The applicant is obliged to inform the Bauhaus Research School of any other funding awarded and/or approved or denied by third parties.
  9. Funding will not be awarded for any travel associated with commercial activities.

How can I apply?

Applications (in German or English) can be submitted by using the online form with document upload.

Please upload the following documents:

  1. Your updated CV
  2. Cost and financing plan (calculation of costs as well as respective financing, e.g. personal contributions, funding by third parties, please see the information sheet for further details)
  3. Official confirmation of approval of the contribution (with specification of the contribution, e.g. as a poster, presentation, other) as proof of active participation in the event. If the confirmation of the contribution is not available at the time of applying, this must be submitted by the start of the trip at the latest!
  4. If applicable, proof of the type and amount of costs covered by third parties and of any other funding applied for from third parties.

    How will the funding be awarded?

    After receiving the applications, the Bauhaus Research School examines the applications according to the formal criteria as described under criteria 2 (»What can be funded?«). An awarding committee, consisting of one representative of the Research Department, the International Office, the Equal Opportunity Office, as well as Doctoral Council Pro.Doc and the Bauhaus Research School, decides on the funding of all formally eligible applications on the basis of the content-related criteria. The budgetary principles of economic efficiency and cost effectiveness shall apply.

    Content-related criteria:

    1. Relevance of the conference/exhibition to your doctorate
    2. Type and scope of participation
    3. Need for financial support
    4. Availablility of the university's budget
    5. The principle of funding diversity applies (funding of various doctoral candidates instead of funding of two and more publications of one doctoral candidate).

    What has to be submitted for the funding disbursement?

    The funding granted will be disbursed upon due submission of the original receipts for the expenses in addition to an informal report (max. 3 pages), as well as your bank details. The report should detail the aim, uses and outcome of the funding. The application for the sustainability grant for sustainable travel (by bus, train or carpooling) can also be submitted informally as part of the factual report. Please submit the documents either in the original to the Bauhaus Research School or as a consolidated PDF per email to ipid[at]uni-weimar.de. Employees of the Bauhaus-Universität Weimar should note the separate regulations for funding for business trip accounting.

    Important information for employees of the Bauhaus-Universität Weimar

    As an employee of the Bauhaus-Universität Weimar you can carry out your stay abroad as a business trip (Dienstreiseantrag). More information (currently only in German) about application and disbursement.


    Data protection

    1. Pursuant to Art. 6 para. 1 of the European General Data Protection Regulation (GDPR), the Bauhaus Research School will process the data that grant applicants provide in the grant application form exclusively for the purpose of awarding grants. It will be processed internally and will not be passed on to any third parties. Specifically, processing is necessary to implement pre-contractual measures, fulfil a legal obligation, and perform a task that is in the public interest. In the event that a grant is approved, the project title and name of the grant applicant will be published on the Bauhaus Research School website and, where applicable, in other media of the Bauhaus-Universität Weimar (e.g. newsletter, online journal, etc.).
    2. Grant applicants and recipients have the right to information, right to rectification, right to restrict processing, right to erasure, right to notification, and right to object in accordance with the legal provisions.
