Acceptance and preparation
The results of the selection process are posted by the International Office without explanation of the reasons for the decisions. In some cases, candidates may be added to a waiting list and admitted to the exchange programme of their choice as soon as space is available.
Please note:
- Admission to a foreign exchange programme cannot be transferred to another student.
- Without the nomination of one's faculty, it is not possible to join an exchange programme at a later time, even if space is available.
If you have been selected for placement in a foreign exchange programme, you must sign a statement of acceptance with the International Office within two weeks of the announcement. If you do not wish to accept, or fail to accept the space within the two-week deadline, your slot will be given to the next candidate on the waiting list, or the nomination will be cancelled.
The statement of acceptance also serves as the basis for:
- the official notification to the partner university (nomination)
- the payment of the mobility allowance
Withdrawing one's nomination too late may prevent the timely nomination of another candidate on the waiting list. This would mean that the space would go unfilled for the current academic year.
After you accept placement in a foreign exchange programme, you will receive a folder of information and forms from your future host university. These include:
- Foreign exchange application/registration forms
- Application/registration form for student accommodation
- Application/registration form for language courses
- Form for transferring academic credit
- Your contact partners at the host university: the responsible administrative office for international affairs (International Office) and the responsible programme supervisor (usually a member of the faculty)
Please note: Because the International Office cannot verify the information provided by the partner universities, this information may not be up to date. More and more of our partner universities are posting these forms online. Click here for links to the websites of our partner universities.
After signing your statement of acceptance and receiving your information folder, you alone are responsible for contacting your future host university in good time. You must send the registration forms and your portfolio (if required) to the International Office at the foreign university by the prescribed submission deadline. Be aware that some submission deadlines are very early (for example, Scandinavian universities require registration forms by mid-April).
Also pay attention to differences in the academic calendar at your future host university, e.g..
- In the USA and Scandinavia, the academic year begins in mid-August.
- In Australia, the academic year begins in February/March. Attention: The Australian summer semester is our winter semester, and vice versa!
- There may be differences in how the academic year is structured, e.g. in Great Britain and the USA (trimesters, terms) and in the Netherlands (modules at the TU Delft).
